If you have an integration with Toolbank, you will be able to do the following:
Auto-populate Products directly from Toolbank
To automatically populate products from Toolbank, you just need to map one of your categories to a Toolbank category and assign a margin %. To do this, click on CATALOGUE - EXTERNAL CATALOGUES - TOOLBANK to see all your categories.
When you assign one or more categories, you can then click on one of the following buttons displayed:
- View/Edit Excluded Products - Click this to enter a comma-separated list of TOOLBANK product codes for products you want to exclude from the integration.
- Preview Latest Changes - If you click on this button, it will display the following to you without making the changes:
- New Products to be added.
- Existing Products to be updated (i.e. they have already been created but their price has changed).
- Existing Products to be made inactive (as they are not available from Toolbank anymore).
- Process Latest Changes - this is the same as PREVIEW above except it also commits all the changes to the live database - and they will appear on the live site once the current cache clears itself within 30 minutes.
- Process Stock Only - this just updates all stock levels for existing products with TOOLBANK's stock levels.
Automated Batch Job
The above manual screens are only just optional - as once you map the categories, then the changes will automatically happen anyway over night by the nightly batch job.
The batch job also runs hourly where it updates the stock levels. So it adds and updates products once a night - and then updates stock every hour.
NOTE that when it updates a product, it only updates it's price and stock qty - and makes it ACTIVE if it was made INACTIVE.
Sell Toolbank Products outside the integration
For Toolbank products that you already have in stock, you can remove them from the real-time integration by changing their DROP SHIPPING SOURCE field to blank - i.e. remove the word "Toolbank" from this field when updating the product via the admin. To do this, click CATALOGUE - PRODUCTS when logged in - and then click UPDATE beside the product. You then click on the Pricing & Promotions tab and scroll down and click SHOW ADVANCED SETTINGS and then scroll down further and you will see the following fields:
Once you remove the word "Toolbank" and click SAVE, the product will not populate from Toolbank and you can populate it directly from your epos/erp integration (or change the properties of the product manually if you don't have an epos/erp integration).
Turning off Automatic Price Updates
To turn off the price automatically updating from Toolbank, just check the CHECKBOX in the screenshot above for "Check this box to stop the price of this product automatically updating from it's source".
What happens when a new product is added
When a new product is automatically added from Toolbank, the following happens:
- We do not add it if it's product code is one of the excluded product codes above.
- We do not add it if it's product code is already a product code within the database (either through CODE or SUPPLIER CODE).
- We do not add it if it's got overseas stock (we only add products that are stocked within Ireland already).
- If the weight is above 20kg, we change it to COLLECTION ONLY.
- We set the price using the following equation and the PRICE MARGIN %
- Selling Price = Cost Price / (1 - (MarginPercent / 100))
- We will also round the prices up to the nearest .99 if it’s under €100 – and round down to the nearest whole number if it’s over €100 (e.g. €49.99 will round down to €149) :
- And we will add TAX to the price before rounding the price - and then remove the tax again so that we save the price as PRICE EX VAT
- FOR EXAMPLE: Suppose the cost price of a product is €50, and you want a margin of 30%.
- SELLING PRICE = 50 / (1 - (30 / 100)) = €71.42
- Then add VAT at 23% to this = €87.85
- Then round up the price = €87.99
- Then remove VAT at 23% = €71.54
- SELLING PRICE = 50 / (1 - (30 / 100)) = €71.42
- After it is added, we then update the price DAILY and the STOCK QTY every hour.
- You can ask the helpdesk to add a BUFFER QTY to all stock levels - e.g. if you set this to '3', we will add 3 to every stock qty for each Toolbank product.
- It will assign the product to the category you mapped the Toolbank category to as it's PRIMARY CATEGORY.
- It will also check to see if their is a BRAND CATEGORY with the same code as the TOOLBANK BRAND CODE and if there is, it will add the product to that brand as well.
- NOTE that when a product gets added from TOOLBANK, we only ever update it’s price (unless it’s price sync is turned off) and it’s stock – we never change it’s BRAND CATEGORY, or PRODUCT CATEGORIES – so if you change these yourself, that’s fine as your changes will not be reversed.
- You can group TOOLBANK products under a parent product – but if a new version comes through, it wont automatically add itself under that parent product.
- NOTE that each Toolbank product is treated like any other product, so will be included in website promotions that are set up.
