1 Introduction
This document contains the functionality that allows you manage your shop through Fashion Master.
2 How it works
Every 15-30 minutes, the following occurs:
• Fashion Master downloads all the latest web orders from abcommerce and imports them into Fashion Master
• Then, it uploads the latest product/stock updates from Fashion Master to abcommerce
3 How to Publish Products to the Website
To publish a product in Fashion Master so it will appear on the website, you need to take the following steps:
3.1 Web Enable the Product
The first step is to Web Enable the Products in Fashion Master so they are synced up to the website. To do this:
• Select the Web Tab
• Enter the SPC: Supplier Product Code
• Click VIEW which is opposite the Current Web Status
• The pop up Window will display the Master Product and all of the versions.
• Click Master to select ALL versions or select your versions individually from the right hand panel
Once a product is web enabled, the following actions will automatically occur:
• Within approximately 15- 30 minutes the product will appear on the website
• Note that if the product has versions (e.g. colours and sizes), each colour will appear as separate products with sizes appearing as buttons.

NOTE: Once the Integration is switched to live, the following will happen:
- All titles will be updated from Fashion Master using the MAIN DESCRIPTION FIELD detailed above – including UPDATES
- The IS NEW UNTIL DATE will automatically populate to be a date 6 weeks after the product is published on the website for the first time – This option can be turned off if it is not required
3.2 Syncing Additional Fields
Long Description Fields
Fashion Master has a Long Description field which is available in Stock Record Maintenance – Images Tab. This field in Fashion Master maps to the abcommerce Short Description "Additional Info" Field.
Fashion Master also has Extra Details fields (Link at the top right of the screen above) which can be mapped to Short Description Fields in abcommerce should they be required
3.3 Assign the Product into its’ relevant categories
See Screenshot for Tier 1, 2 and 3 below. This is where you will decide which categories your products will appear in on the website.
IMPORTANT:
- The first row in the table below is the PRIMARY CATEGORY
- The 2nd row is the BRAND CATEGORY
- All rows from 3rd row onwards are SECONDARY CATEGORIES + you are allowed up to 10 of them - these can be used for assigning products into (1) other categories as well as the PRIMARY CATEGORY above and/or (2) Promotion Group categories and/or (3) Refinement/Filter categories.

To assign this product to this Category in abcommerce, use the following naming convention in Fashion Master

Note: The values you enter into the above fields in Fashion Master need to match the EXTERAL CODES for leaf nodes which can be found at the Category Level in abcommerce. You need to ensure NONE is entered in blank cells.
To ensure a match, codes entered in abcommerce must be an exact match with those in Fashion Master.
Once all the abcommerce web categories have been entered in Fashion Master, you just need to click F3 to select from a pre-populated list.
abcommerce will only sync, rows where the USE checkbox is unticked. If you wish to categorise Products for internal reporting purposes only, please ensure the use checkbox is ticked.
3.4 Upload Product Imagery and Descriptions
Now with the product live on the website, it is important to upload product imagery asap as the product appears with a blank image.
Please refer to How to Upload Product Imagery for more information about how to upload images and also the image specifications and naming requirements.
Please note that Individual Products (ie without versions) should be named using the Barcode and Version Images should be named using the SPC and Colour Code (this is the reference code that appears when viewing the product on the website).

At this point you can also add Additional Information fields eg Product Descriptions, How to Use, Style Guides etc, please refer to Edit Product Details
4 Stock Level Updates
4.1 Stock Updates every few minutes – 24 hours a day
Every few minutes, any changes to stock levels are automatically sent to the website.
As a safety option in case the stock levels ever go out of sync for a product during the day (which should never happen anyway), all stock levels for all products are fully synced with Fashion Master.
4.2 Options for Out of Stock
When a product goes out of stock, it is automatically taken off the website - and if stock is added to Fashion Master, it will automatically reappear on the website.
5. Managing Promotions
There is an option for setting website promotions up through Fashion Master. To do this, use the MARK-DOWN screens in Fashion Master.
6 Colours and Sizes
6.1 Integrating COLOURS and SIZES
Your website will show COLOURS and SIZES refinements filtering on the left sidebar of your website. This is automatically populated from the colours and sizes in Fashion Master.
For usability, it is important that you only show a maximum of 15-20 colours in the colour refinement list and similarly for the sizes list. So there is a facility in abcommerce to allow you to group your Fashion Master colours into groups.
Remember that the look up record is what is displayed in the button list on the PRODUCT DETAIL page and the parent is what is displayed in the list of refinement options.
6.2 Batch Job Warnings – Missing COLOUR or SIZE
Note that sometimes new colours and sizes are set up on Fashion Master for new products coming in (e.g. a new shade of blue for a new shoe style). When these come through to the abcommerce back-end, the batch job may have to stop because a COLOUR or SIZE code comes through that is not set up on the abcommerce side.
At this point, an email will be immediately sent to the website administrator notifying them of this – and again the following day if the issue still hasn’t been fixed and every day until it is fixed.
To fix this, you need to go into the abcommerce admin website and add the COLOUR or SIZE to the LOOKUP tables. Ensure that you put them under the appropriate PARENT if using 2 levels of lookups (needed for grouping REFINEMENT options). The issue will then resolve itself within 15 minutes when the batch job runs next.

The website orders are automatically downloaded into Fashion Master every 15 minutes
